ADMINISTRATIVE ASSISTANT, LEARNING SUPPORT SERVICES

JOB TITLE: Administrative Assistant, Learning Support Services
SALARY RANGE: $45,702 - $60,439
HIRING RANGE: $45,702 - $58,330
DATE OF VACANCY: As soon as possible

POSITION SUMMARY:

The Administrative Assistant, Learning Support Services coordinates student teacher placements through the system, donations of gifts to schools, and assists with the organization of secretarial training meetings. The Administrative Assistant provides support to the LSS Officer and Supervisor OnSIS and department and acts in the capacity of Executive Assistant, Superintendent of Student Achievement if there is a vacancy.

KEY RESPONSIBILITIES:
  • Receiving and preparing gifts/donation to school requests for approval and processing
  • Responding to parent inquiries related to school boundaries, parent portal access and pre-online student registration
  • Coordinating student teacher practicums in TVDSB schools
  • Providing support to the Supervisor, OnSIS with reports, account reconciliation, Quality Data Management (QDM), coordinating secretarial meetings and training sessions, and migrating/maintaining informational materials in HelpHub; acts as Local User Authority for account set up for Ontario Education Number (OEN) and Ontario Student Information System (OnSIS)
  • Administrator for the department for BMO pCards issued to Superintendents of Student Achievement
  • Acting in role of Executive Assistant, Superintendent of Student Achievement when there is a vacancy
Work Performed:
  • Process donations and generate reports for “gifts to schools”
  • Liaise with schools to ensure proper documentation of student data and timely reporting to the Ministry of Education
  • Provide necessary support to school secretaries
  • Provide coverage for the Executive Assistants, Superintendent of Student Achievement as required
  • Organize meetings for school secretaries including agendas, arranging training, and minute-taking at meetings
  • Respond to inquiries from the public and redirect appropriately, including school boundaries, parent portal access and pre-online student registration inquiries
  • Coordinate student teacher practicums in TVDSB schools through communication with Faculties of Education and teacher candidates
  • Coordinate Teacher Placement Affiliation Agreements with Faculties of Education
  • Assist LSS Officer with administrative roles such as ordering office supplies
  • BMO administrator for pCards.
  • Monthly Flu reporting to the Middlesex-London Health Unit
  • Monitor/maintain Electronic Field Trip Proposal forms
  • Monitor/maintain Home School Intent Acknowledgement letters
  • Other duties as assigned
EDUCATION/EXPERIENCE:
  • Completion of one (1) year post-secondary program in Office Administration, Business Administration or equivalent
  • Three (3) years of related work experience is required
  • Proficient in computer applications such as Outlook 365, MS Office Suite, etc.
  • Excellent interpersonal skills with effective communication skills, both orally and in writing
  • Ability to work both independently and as part of a team
