Job Description

The Department of Mechanical & Materials is one of four departments in the Faculty of Engineering. Faculty and staff in the department support and foster the educational and research pursuits of undergraduate and graduate engineering students, while providing the best student experience.

 

The Administrative Officer will facilitate and provide oversight for a wide range of administrative, human resources, communications and financial functions and processes to ensure smooth and efficient administration in the Department of Mechanical and Materials Engineering. The incumbent interacts with internal and external stakeholders to respond to inquiries and address concerns, while ensuring compliance with relevant legislation and Western's policies and procedures, in order to facilitate the achievement of the Department's missions and objectives. The incumbent will monitor and evaluate current administrative processes, and make recommendations regarding the development and implementation of new and revised processes to support continuous improvement and the use of best practices. The Administrative Officer will provide supervision to staff, offer guidance on various administrative processes, and monitor and manage resources to ensure the University community is served effectively.

 

Qualifications
Education:

- Undergraduate Degree in Business Management/Administration or equivalent with completion of courses in human resources and accounting

- Completion of or working towards Chartered Professional Accountant Designation, Certified Human Resources Professional, and/or Canadian Institute of Management Designation is preferred

 

Experience:

- 5 years' administrative, human resources, and financial experience in a complex office environment; leadership experience managing staff and projects

- Experience working in an academic environment supporting faculty, staff and students is preferred

 

Knowledge, Skills & Abilities:

- Knowledge of professional accreditation processes in professional schools

- In-depth knowledge of best practices for assessing, developing and implementing new business processes and procedures

- Familiarity with financial budgeting and financial principles

- Familiarity with Human Resources principles and practices, Employment Standards Act, and other relevant legislation

- Familiarity with best practices in building a strong collaborative team and leading people

- Familiarity with University policies and procedures preferred

- Ability to ensure expenditures and resources are within allotments, and to make appropriate modifications when required

- Ability to organize and effectively manage financial and human resources needed to achieve results

- Ability to provide strategic analysis and recommendations for designing and implementing new and changing administrative processes

- Project management skills to manage multiple projects simultaneously from conception to completion within tightly prescribed timelines

- Communication skills with an ability to clearly express ideas in an objective manner, complete detailed analytics and reports and adapt communication style to suit the situation and audience

- Competency to maintain confidentiality and treat sensitive information with discretion

- Customer service skills to understand faculty, staff and student needs and expectations, with a desire to deliver helpful and reliable service to the University community

- Ability and willingness to employ a consultative and collaborative approach to addressing issues and making decisions

- Ability to handle details with a high degree of accuracy and to organize and prioritize a high volume of work to meet deadlines

- A well-defined sense of diplomacy, including solid negotiation and conflict resolution skills

- Commitment to ongoing professional development with a desire to take on new challenges

- Results-oriented with the ability to delegate work and provide direction, and motivate and coach employees to meet high performance standards, while working effectively as a member of the leadership team

- Computer skills with the ability to train others in system usage

- Advanced computer skills in Microsoft Office Suite (Word, Excel, PowerPoint, Publisher), databases (PeopleSoft) and content management systems (Cascade) required

- Influential interpersonal skills that build positive and strong relationships at all levels of the organization
